Refund and cancellation terms

These terms apply to professional engagements with Kairo Financial Audit Desk for financial auditing and related assurance work described on this site. They do not cover products, merchandise, or software subscriptions, which we do not sell.

Eligibility overview

Fees relate to professional time and scheduled fieldwork capacity. Refunds depend on how much planning or fieldwork has begun and on notice timing relative to agreed dates in the engagement letter.

Timeframe for requests

Refund or credit requests should be sent in writing to hello@datasecurityautomated.digital within 14 days of the event giving rise to the request (for example, cancellation confirmation or invoice dispute), unless the engagement letter sets a different window.

Full refund conditions

A full refund of amounts paid is available if we cancel an engagement for reasons within our control before planning work begins, or if we decline the engagement after acceptance on independence grounds before substantive procedures start. Deposit amounts prepaid for a scoping call that we cancel are returned in full.

Partial refund conditions

If you cancel a statutory audit more than 30 days before the agreed fieldwork start, we refund amounts paid minus a planning fee reflecting work already performed (document review, risk assessment drafting), documented in writing. Cancellations between 14 and 30 days before fieldwork may retain up to 50% of the engagement fee to cover reserved staff time. Inside 14 days, fees are generally non-refundable except for the unused final installment tied to opinion delivery when fieldwork has not occurred.

Non-refundable items

• Work already performed and invoiced under a time schedule in the engagement letter
• Third-party confirmation portal fees or specialist correspondent costs already incurred with your approval
• Travel costs already booked for inventory observation with your written go-ahead

Refund process and timing

Email hello@datasecurityautomated.digital with the engagement reference, invoices paid, and reason. We confirm eligibility within ten business days. Approved refunds are processed within 21 business days to the original bank transfer account. We do not issue cash refunds at the office.

Cancellation and rescheduling

You may request to move fieldwork dates once without penalty if the new dates fall within the same fiscal reporting cycle and capacity exists. Further reschedules may incur a calendar-hold fee stated in the engagement letter. We may reschedule for safety events (for example, severe weather affecting plant access) without penalty to either party.

Deposits

Acceptance deposits secure calendar space. They are credited toward the engagement fee. Unused deposits after a client cancellation follow the partial refund rules above.

No-shows and delayed books

If agreed fieldwork cannot proceed because books, inventory access, or key staff are unavailable without three business days’ notice, we may charge a standby day rate and rebook remaining procedures. That standby charge is non-refundable.

Work already started

Once planning memoranda, sampling selections, or confirmation requests have been issued, fees for those stages remain payable even if the engagement later terminates by mutual agreement.

Exceptions

Mandatory cooling-off or consumer rules under Japanese law, where applicable to an individual contracting in a private capacity, prevail over conflicting clauses. Most of our clients contract as companies; engagement letters state the commercial terms that apply.
